Terms and Conditions

Bookings:

1. Please fax your initial request stating date, time, number of guests, number of escorts and guides and menu selection to: (02) 47834 3118.

2. A reply to your request will be faxed back to you the same day confirming details or regretting space due to prior bookings.

3. Please confirm final numbers at least 48 hours prior to the date of the luncheon, keeping in mind that for weekend or public holiday bookings, this confirmation should be received at the latest three working days prior to the event.

***PLEASE NOTE*** that to keep the price of the menus at the level offered, we would be most grateful if you could inform us how many of the guests are having which menu. If a vegetarian meal is requested, please inform us.

Vouchers should be signed by the Tour Guide and given to The Hillcrest Coachman head waiting staff. Alternatively, payment for the group meal can be made by cheque. Credit cards for lunch tours are not accepted.

Conditions:

1. For groups of 5-20 paying guests, the tour guide receives a complimentary meal.
2. For groups above 20 paying guests, the tour guide and tour escort receive a complimentary meal. Groups over 60 pax receive one further complimentary meal. Groups up to 120 pax receive a total of four FOC's.
3. The Hillcrest Coachman has a general cancellation policy whereby any decrease in numbers must be notified at least 24 hours prior to the event. Last minute increase in numbers (not more than 5) can be made on the morning of the event, not later than 9.30 a.m. The Hillcrest Coachman does take into account specific needs with regard to cancellations. We request that circumstances be discussed and mutually agreed upon.
